...is made by and between The School House Venue, LLC (“School House”) and any caterers, photographers, bakers, musicians, event planners, etc. (“Vendor” and together with the School House, the “Parties”) hired by a client of the School House to perform services at the School House. The Parties hereto, intending to be legally bound, and in consideration of the mutual covenants hereinafter agree to the terms outlined in this Agreement.

Vendors are requested to review and understand our Policies and Regulations as outlined in the Event Agreement in addition to all Federal, State and local laws and regulations.
I N S U R A N C E
Vendors must provide proof of insurance as outlined in our Event Agreement prior to the commencement of work or services at School House. School House must be named as an additional insured. School House must receive COI at the latest two weeks before the booked event. Failure in submitting these documents will prohibit you from providing any services at School House.

C H E C K I N + C H E C K O U T
Vendors will have access to the School House on the day of the event during the Access Period in the Event Agreement.
Tear-down is to begin immediately after the event conclusion and should be done timely, quietly and safely. The event space should be left in neat and orderly condition, free of debris, no later than the contracted completion date and time. Based on time and labor, the group will incur additional charges for the removal of any materials by the School House staff at the close of any event.

In the event any damages are caused as a result of the vendor’s actions or inaction, School House will deduct said amount from Client’s security deposit. School House will not be liable for any theft or loss of vendor’s personal property.
P R O F E S S I O N A L I S M
As professionals, it is important to realize that your behavior is an integral part of our entire operation. Please conduct yourself in the manner in which School House will build its reputation. Please demonstrate a positive attitude about our property and above all, treat our staff and guests with the greatest of courtesy. We request all vendors follow any further instructions given by the School House director.
C A T E R E R S
Caterers need to arrive in a timely fashion to be set-up before the event begins and must check out with the School House director before leaving to ensure that the prep space is returned in the condition it was given. The School House can provide cleaning supplies if needed. All caterers must fill out an application with the School House and be pre-approved in order to work at the School House and must be licensed and insured. The catering and bar service representative is required to survey the School House and grounds for proper clean-up before leaving the property. Please note, if the catering captain fails to check-out with School House staff, this will determine whether the caterer will return to School House.
STAFF - If the caterer or client is providing china, tableware, etc. all set-up, service, and clean-up are the responsibility of the caterer or client. Caterers are required to buss tables throughout the event. Please notify us if you are not providing this service to the client. Service staff must check-out before leaving School House.
RENTAL - All rentals, plates and glassware are to be properly broken down and stored on rear vendor loading area for same night pick-up.
TRASH - Caterer or client must bag and remove all trash. No trash may be left on the rental site. It is the responsibility of the caterer or client to transport bagged and sealed trash from the site to the dumpster. Caterers must provide their own trash cans trash bags (55 gallon) to be used during the event. All trash must be removed from the building and taken with the caterer (there is a dumpster located in the parking lot).
COOKING - Live action stations must be approved by the School House to determine the appropriate location to avoid setting off the fire alarm. Provide protective mats to place under all indoor active food stations and bars. If using deep fryers they must be placed with protective mats on the vendor loading area.
BEVERAGE STATIONS – Water/Beverage dispensers may not be set at the edge of tables. The dispenser must be set in the middle of a table. For example, the dispenser nozzle should not be facing the floor directly. If you have to set the dispenser on a platform please bring any items to do so.
P R E P K I T C H E N
The prep kitchen is equipped with a warmer, sink and prep tables and should be used for storing or prepping foods only. Cooking is NOT allowed inside of the building. Fryers and portable stove tops are not allowed in the kitchens. The prep kitchen must go through a final inspection prior to the catering staff departing the facility. If the kitchen is not returned cleaned after the event, an additional cleaning fee of $1000 will be accessed to the Client.
Please make sure you bring extension cords if you have equipment that needs to be plugged in. Extension cords should be 30-40ft in length in case outlets further away need to be used to prevent overloading the circuit.
C H I N A + G L A S S W A R E
All china and glassware must be removed from the School House at the end of the night. Any cleaning of china or glassware must be done outside of the School House. We do not have a kitchen or space for this. Please make sure to schedule a time with the School House for rental drop offs and pick- ups.
B A R S E R V I C E
Bar service must have liquor liability insurance and any appropriate licenses and/or permits. Bartenders are NOT allowed to consume alcohol during events. At no time is the caterer or bar service allowed to give out leftover alcohol to Client or Client’s guests. Bartenders must check photo identification to ensure that there is no underage drinking. Bartenders are responsible for removing bar trash at the end of the event and bussing bottles and cups throughout the night.
P H O T O G R A P H E R S
School House has the right to use any photographs taken at School House by vendor or of vendor’s services or products for social media purposes. Images will be requested from the photographer directly to ensure that the best quality images are used for web purposes. School House will credit photographers when photographs are published on social media platforms. Any other situation, School House will request permission to use such photographs from vendor.
Please keep the following policies in mind while photographing in the space:
B A N D + DJ
The band, DJ (disc jockey), or other entertainment will be required to notify the School House in advance of their equipment types, electrical set-up, and requested delivery schedule. The School House will not provide equipment or any-set up equipment for bands or DJs, such as microphones, electrical tape, and stages. It is the responsibility of the band or DJ to use the floor protection approved by the School House under their equipment during setup, performance, and dismantling. The School House reserves the right to prohibit any equipment needing more power than the standard electrical outlet provides or any equipment that the School House deems inappropriate.
The volume and bass must stay at reasonable levels. The School House will assist with the sound check to make sure decibel levels are understood. The School House reserves the right to cease all music if Band/DJ repeatedly disregards requests to keep volume within legal limits.
Fog/hazing effects, lasers or smoke machines are allowed ONLY upon pre-approval by the School House.
NO SPEAKERS ALLOWED IN COURTYARD OR DECK.

Regardless if you are a day-of-coordinator or full service wedding planner, School House requires a timeline outlining time block, vendor arrival time/departures, event details, etc. If you are setting up items, please do not store boxes, bags, or leftover boxes in the School House storage room or utilities closet. Please ask School House staff before you leave any items for storage in School House. Aside from removing items from tables, removing décor and personal items, we ask that you dispose of any trash that may be left behind in the bridal suite and lounge area. This means removing all cups, cans, bottles, food plates, etc.

The School House director will provide a diagram of specific placement of all elements at least a week in advance, if requested. If you should have specific needs or requirements, please contact our office.
D E C O R A T I O N S
We ask that you respect our building. Items such as glitter, silly string, balloons, confetti, and streamers are not allowed (unless approved by the School House director). Should clean-up of these items or similar items be necessary, a fee equal to the amount of the clean-up, repair, replacement, will be added to the final invoice. Open-flame candles are strictly prohibited. The use of tape, wire, staples, tacks, glue, and similar items is strictly prohibited. The client is required to submit a list of decorations before the event for approval.
D R A P I N G + T A P I N G
All technical equipment in the event room that is visible to guests must be properly draped with cables and tucked away. Gaffers tape must be used to tape down all cords, not duct tape. At no time can anything be taped or otherwise affixed to walls, ceilings, baseboards, door frames or crown molding without the consent and direction of the School House director. No fabric may be draped or hung from the fire or electrical conduits.
The client is required to submit a list of any draping before the event for approval.
F I R E S A F E T Y
Client has been advised that all candles must be protected by greater than a 2” non-flammable container. Any other open flames are prohibited on property. The School House’s life safety system is subject to approval by the Fire Marshall and the School House. Fog/hazing effects, lasers or smoke machines are allowed ONLY by pre-approval from School House.
If you are plugging in ANY type of equipment, you MUST tape down all exposed cords/wires. You must bring GAFF tape with you. If you do not have tape with you, you cannot leave wires loose and you will be forced to unplug and stow away your equipment.
V E N D O R S E T U P
Vendors need to find out from Client ahead of time where set-up will take place and park properly. After load-in is complete, vendors must move their vehicles to the designated vendor parking areas.
P A R K I N G
Vendors are strongly encouraged to keep vehicles to a minimum. School House may request to move Vendor vehicles to a designated area. Trucks are not permitted to park in the parking lots without approval. All fire lanes must remain open.
I N D E M N I F I C A T I O N
The School House will not be responsible for any injury, loss or damage that may occur to the vendor, the vendor’s employees or property, or to any other person, during or subsequent to the period covered by the vendor contract provided said injury, loss or damage is not caused by the willful negligence or wrongful act of an employee of the School House. Each vendor expressly releases the School House from such liabilities and agrees to indemnify the School House against any and all claims for such injury, loss or damage.
It is mutually understood that the above Vendor Policies have been reviewed and are acceptable. THE VENDOR CERTIFIES THAT HE/SHE IS LEGALLY ABLE TO ENTER INTO THIS VENDOR AGREEMENT AND THAT HE/SHE HAS READ, UNDERSTANDS, AGREES TO THE TERMS AND CONDITIONS OUTLINED IN THIS DOCUMENT AND IT’s APPENDICES AS WELL AS OTHER REFERENCED DOCUMENTS.
